And the meeting started with the agenda "Evaluation results"
and Sumith invited all members who were also online in other messengers. Sumith
thanked all committee members for taking hard time of evaluating all of those
applications.
Minutes
1. Participants:
Sumith, Xiaohui, Ravi,
Sana, Amaraweera, Aadit, Rahman, Sagarika and Kung (APNG
Secretariat)
2. Evaluation results:
- Except for
few deviations in results and all members agreed with the way evaluated as
a whole.
- Sumith
called for the comments from the floor for the averaged result which he
posted in latest version.
- To summarize
the info accordingly to: Name, Country, Average Mark and WG/Area,
Students/ Employees, AIT fellows, Fellows selected by Prof. Kanchana and
any other matters which might be helpful to support the selection decision
makings and send to Tommy and exec-committee: Aadit. If WG is not specifically stated in application, to
put into WG which best fits the application. No place for stating WG in
application form. This is a good improvement for next camp.
- Answering to
the question "one person had very little marks but was chosen by
Prof. Kanchana", Sumith explained that this
is the norm in APNG, which was done from the beginning. There are valid
reasons for this with Good faith. AIT and Prof. Kanchana does a lot for
the APNG betterment for that there are things happen in special way with
AIT.
- To decide
the quotas for WGs: giving high quotas to WGs with higher number of applications to make things
fair.
- Roughly 32
fellows with USD 30,000 budget projection. One fair option proposed by
Sumith is as follows:

Students for full fellowship while others for
partial fellowship?? How about dividing the full fellowships into some
percentages?? 70% for students and 30% for professionals?? Further discussions
on this will be made through emails by Sumith.
- To
categorize fellowship applications with criteria: open source or fit into
APAN CFP by Rahman.
- This is very
important since we can let APAN publish relevant papers on APAN. This is
one thing we did last time too. Also, to have close relation with APAN.
3. Sponsorships:
- We need to work hard this month to get 23000 USD more
- Drafted the
sponsorship request letters in Chinese together with some students and
professors from
Tsinghua
University.
Also asked some professors to contact some potential sponsors in
China
.
Need some time to finish this job?: Xiaohui Shi
- Will try
with IOSN which supports open source events mainly. It is needed to
emphasize the open source aspect some how: Ravindra
- DotAsia sponsorship will be
handled by Tommy and they may make the final decision in late June.

CISCO through Dr. Philip (APRICOT). No response yet. Will follow it up
again: Sumith
- To send
appreciation letters to ISOC (USD 5,000) and DreamArts (USD 2,000) with Prof. Kanchana's signature asap: Kung
4. Speakers
- Suggestion
by
Sana:
A Web Internationalization person?
- Answering
the question whether APNG sponsors (air fare etc.) for the keynote
speaker or invites a speaker who will participate in APAN", Sumith
replied that we do not sponsor the speakers.
- Should
invite some distinguished Chinese Professors and a few International
Speakers?
- Identification
of speakers & inviting them:
Sana (tentatively). To
check whether she can lead on this.
5. Tutorial
with APAN >> A track for APNG
- Day 1: WE will not have any APNG specific work. Participants from APNG
will take part in APAN events. In the morning "Digital Archive"
has invited us to join them. But we expect APNG fellows to decide what are the sessions they are going to take part. In the
afternoon we as APNG plan to do a Tutorial in APAN for all interested
participants (APAN/APNG). Tutorial for Sahana.
- Day 2
- Day 4: 9th APNG Camp.
