APNG monthly committee meeting

Agenda:

Called for other discussion topics by Sumith to all attendees of today's meeting. And the meeting started with the agenda "Sponsorship" updates. Sumith thanked for all committee members for making themselves available for today's meeting.

Minutes 

Presents were: Sumith, Xiaohui, Kashif, Rahman, Dihan, Sana, Amaraweera, Aadit and Kung (APNG Secretariat) 

1. Sponsorship: Sana, Dihan, Amaraweera, Shi & Kung

a.Sumith asked for sponsorship updates from assigned members.
b. Sana: contacted IDRC and Koreans. Got the right channel to get the request through but the director is currently
   away and will follow it up again next week.

c. Dihan: 3com is still pending. Will keep trying.
d. To follow up with Karen, ISOC, to transfer sponsorship fund to APNG Secretariat.
    Needs payment instructions: Kung, APNG Secretariat
e. Amaraweera: Trying with Sponsorship request to local Sri Lankan company.
f. Sumith encouraged to use local funding for supporting fellowships; if one country can find local sponsors to find
    any additional fellows, to get them as sponsors for APNG Camp.

g. Any organization sponsor $2000 will then be categorized under "Others".
h. Shi: CERNET, CNNIC, CSTNET, NEC Labs China and some other companies have been contacted for Sponsorships.
    CNNIC and CSTNET declined the request but CERNET will probably sponsor a dinner.
    Waiting for response from NEC Labs China.For IFS, to follow up with
Mr. Amaraweera.

2. Publishing papers together with APAN: Sagarika

- The matter of publishing papers with APAN will be discussed via e-mail: Sagarika.

3. Promoting APNG for less/non active countries

a. Sumith had already sent individual emails to few contacts in Japan, Taiwan, Korea etc.
b. Aadit suggested to contact seniors in said countries who were very active fellows.
c. Sumith advised Kung to compile all contacts of fellows from previous camps in order to
    contact them via email while he had sent email to Kondo-san and Hikita-san. No reply yet so far.
d. To follow up with two organizations recommended by Prof. Kilnam Chon to promote APNG in Korea:Kung, APNG Secretariat
e. To find suitable organizations and contact them appropriately for other countries in AP region: Rahman
f. Aadit suggested to increase participation from countries like India, Myanmar, Cambodia and Laos etc.

4. Task assignments:

a. Sana: Follow-ups with potential sponsorships from IDRC and the Koreans.
b. Aadit: Assigned for fellowship application results. Can take more responsibilities now.
c. Kung: Registration page, fellowship selected list (acceptance lists), hotel reservation, and website updates if any.
d. Dihan: Follow-ups with International sponsors. Will spend more time than before.
e. Sagarika: Working on fellowship presentations for APAN.
f. Amaraweera: Follow-ups with a few sponsors, theme and banner
g. Kashif: Assigned for Costume party preparations (To get status of assigned task via email)
h. Rahman: To find suitable organizations and contact them appropriately for other countries in AP region (assigned as of today.)
i: Ravi: Working on APAN Tutorial
j: To get another new email ID from Joan if she is still having problems in receiving emails sent through camp-committee
   mailing list. Kung confirmed that her current yahoo ID is still active in said ML.

5. Finalizing Theme:

a. Proposed themes from 21st April meeting are:
   - "Towards Innovative & Energytic Younger Generation for a Networked Asia-Pacific" or
      "Networked World invites Innovative & Energytic Youth" by Mr. Amaraweera.
   - "Build the Innovative Next Generation in Asia-Pacific" by Sumith
   - "Informed youths in a network Asia-Pacific" by Ravi -- to convey that it is through a chain of people
       that we can finally achieve network excellence.

b. Theme selected: "Build the Innovative Next Generation in Asia-Pacific" by Sumith

6. Schedule: Aadit (To draw camp schedule.)

a. Meeting room will be split into two: 16 fellows for each room. In previous camps, due to the time constraints, we did rush through
    presentations which were not very pleasant and we could not get best out of all. Likely to have 2 rooms side by side, probably
    with soft partition. Needs to check the extra charges for extra equipments/ requests.
b. 32 fellows presentations + Keynote speeches + Sponsors speeches + WG discussions + many others.
    It is crucial to plan the program well in advance.
c. To contact APAN organizers for APNG camp with two tracks (25 each) for 1 day (assuming that we can cover
    all 16 fellowship presentations in one day). And other two days a single track of 50+.

d. It is agreed to have two tracks (only for fellowship presentations) and needed entire 1 day for fellowship presentation.
    20 mins presentation per fellow; 10 mins presentation + 5 mins Q&A + 5 mins slack.

Day 1: It is shared with APAN. No APNG activities in the day time.
Day 2: Introduction + sponsors presentations + keynote as appropriate
          (probably, moving introduction to Day 1 night @ APNG Welcoming Drink).
Day 3: Two tracks of fellowship presentations.
Day 4: WG discussions + closing ceremony + (keynote or sponsors if required).
