And the meeting started with the agenda "Identification of tasks and assign them to committee members." as it is expected to make the camp committee more productive and to have more active involvements and responsiveness from the members than that of now.

Minutes 

1. Participants:

Sumith, Xiaohui, Dihan, Sana, Amaraweera, Aadit and Kung (APNG Secretariat) 

 2. Identification of tasks and assign them to committee members:

  • Following up sponsorships: Dihan
  • Identification of speakers & inviting them: Sana (tentatively)
  • Fellowship evaluation: Aadit
  • Find Visa information, publishing them on web, supporting fellows with visa issues:    Rahmam
  • Schedule for Camp: Kung, APNG Secretariat (in charge of keeping the schedule up-to-date)
  • Logistic arrangements in cooperation with APAN local organizers: Kung, APNG Secretariat
  • Logistic arrangements (without APAN). Ex. Dinner outs, trips, etc.: Xiaohui and Chinese colleagues
  • Tutorial/Workshop/session with APAN (Ex. "Disaster management" proposal by Ravi): Ravindra
  • Communication with APAN for the arrangements of Additional day (Plan and finalize 4-day program): Sumith
  • Printing documents, make fellows folder package, printing banners, signs, name tags, etc.: Kung, APNG Secretariat

3. Following up sponsorships: Dihan

  • 3com sponsor is pending.

4. Fellowships Evaluation:  Aadit

  • Collect evaluation results from each committee member.
  • Calculate the average results and short list them.
  • Send it back to committee for confirmation.
  • Final result publishing according to the funding we have.
  • Do all the communication related to fellowship with the help of all other committee members and APNG Sec.
  • Send it back to committee for confirmation.
  • Forward it to the Tommy-son (exec committee) for final selection.

5. Logistics arrangements: Xiaohui and Chinese colleagues

  • Find Visa information, publishing them on web, supporting fellows with visa issues: Rahman (tentatively)
  • Logistic arrangements in cooperation with/without APAN local organizers, incl. Dinner outs, sightseeing etc.
  • Arrange Chinese students the opportunity in organizing APAN in consultation with Sumith, Camp chair. Proposal to start with APAN and only Chinese students this year as a pilot project.

6. Tutorial/Workshop/session with APAN ("Disaster management"): Ravindra

  • 3-day APNG program originally, now 1st day + 3-day APNG program (27 August + 28-30 August 2007).
  • To let APNG participant to take part in APAN activities on first day. No APNG specific program on the first day, 27th August.
  • Ravindra & Sagarika had proposed a tutorial for APAN on "Disaster Management". This is open for all APAN & APNG participants.

7. Designing certificate, banners, etc.: Amaraweera (in-charge)

  • A competition will be opened for the members for the coolest designs of banners and get nice one selected.
  • Also call for theme of 9th APNG Camp, Xi'An, China.
  • Printings will be handled by APNG Secretariat.

8. Others:

  • To update the web site with meeting chat log and send it to the committee: Kung
  • To do the minutes and send it to committee and publish it on the web once approved: Kung
  • To proceed with the assigned tasks and lead the role: Committee members
  • To update the status of each member s' assigned tasks to the committee at least once a week via email.
